Learn how to build an outreach assistant that performs multi-touch outreach to help you connect with more influencers and build partnerships at scale.

Let's face it – managing influencer relationships and outreach can be overwhelming.

But Lindy is here to help! You can think of the Lindy we'll set up in this guide as your personal influencer outreach assistant, allowing you to focus on building relationships while your routine outreach is handled automatically.

Whether you need to initiate contact, follow up with potential collaborators, or respond to inquiries, Lindy has got you covered.

We'll start with this Influencer Outreach Lindy.

Here's what this Lindy does:

Wakes up when a new influencer is added to your lead list.
Sends an initial personalized outreach email.
Waits three days.
Sends follow-ups, until the influencer responds, adding value with each email.
Alerts you when the influencer responds (and highlights their interest level).
Alerts you if the influencer goes through the full email cadence with no response.
Updates your influencer tracker according to each influencer's progress in the cadence.

And the best part? This will take less than 15 minutes to set up.

Let's get started!

Add The Lindy To Your Account

Once you've added the Influencer Outreach Lindy to your account, you’ll land on the Flow Editor where you can see all the steps of the workflow.

Customize Your Lindy's Context

Before diving into the steps of the workflow, we are going to give Lindy additional context about who you are and what you’re looking for from an influencer collaboration. This ensures your influencer outreach aligns with your brand voice and highlights your product's unique value proposition.

Context is a set of overarching instructions that Lindy keeps in mind at every step in the automation. These instructions are added as a prefix to every LLM call made by this Lindy, in all her steps, giving her useful context about the task she is performing.

We’ll add this context in the Lindy-level settings. To access Lindy-level settings, click the "Settings" tab beside the Flow Editor and Tasks tab at the top of your page.

Find the "Context" field on the Settings page.

The existing context provides a strong foundation, but adding company-specific details can enhance your results. Consider including information about:

Your brand voice and communication style
Key selling points of your product or service
Preferred outreach structure and tone
Typical collaboration offers or partnership models
Any specific dos and don'ts for influencer communication

Adding example outreach emails is particularly powerful in getting high-quality, aligned output from this Lindy.

Here's the default context you'll see:

**You are an experienced SDR, prospecting for an influencer collaboration**

Your task is to perform targeted outreach upon receiving a new lead and their contact information.

You will send multiple, concise and well-crafted emails to engage the influencer, always aiming for a response. Upon receiving a response, you will assess the influencer's sentiment and promptly relay it to the user via Slack.

Your emails must be clear, succinct, and to the point. Maintain a slightly charming and friendly tone, but prioritize **brevity** and **clarity**.

The user may provide examples of preferred email formats or specific company details. Use this information to personalize your outreach effectively.

No making up signatures for the emails unless specified by the user. 

**Here is pertinent info about the user, their company, their product:**

You can customize this prompt by replacing the placeholder information with your specific details. For example:

Setting Up Your Influencer Outreach Workflow

Now that your global context for this Lindy is set, we can begin customizing the workflow.

The Influencer Outreach Lindy offers two ways to initiate the outreach process: through a connected Google Sheet or via direct messages in the Lindy task view. Let's explore how to set up and use both methods.

Connect Your Influencer List

First, let's connect your main influencer lead list. In the Flow Editor, you'll find the Google Sheets New Row Added trigger.

Click on the trigger to find the field labeled "Spreadsheet ID or URL". Simply copy the URL of your Google Sheet from your browser's address bar and paste it into this field.

Remember, your influencer list must contain at least the influencer's name and email for Lindy to be able to address the influencer and send the outreach to their email address.

Optimize Your Influencer List

To help Lindy craft more personalized and effective outreach, consider including these additional columns in your Google Sheet:

Social Media Handle
Follower Count
Niche
Recent Collaborations
Location
Engagement Rate

The more information you provide, the better Lindy can tailor her outreach. If you need assistance enriching this data, a Lindy Lead Enricher can research and fetch this information for you.

Initiating Outreach Via Chat

In addition to the Google Sheet trigger, the Influencer Outreach Lindy comes with a Chat Message Received trigger. This allows you to initiate outreach for individual influencers on the fly, directly from the Lindy task view.

To use this trigger:

Navigate to Lindy's task view.
Send a message with the influencer's name and email address.

For example, you might type: "Reach out to Jane Doe, jane@example.com"

Lindy will treat this message as a new influencer lead and immediately begin the outreach sequence.

This dual-trigger setup gives you the flexibility to manage bulk outreach through your Google Sheet while also handling one-off opportunities as they arise.

Crafting Your Outreach Email

Both the Google Sheets New Row Added and Chat Message Received triggers lead to a Gmail Send Email action. This is where Lindy crafts a personalized, initial outreach email to each influencer. Let's configure this step.

In the Gmail Send Email action, you'll find a field for the email subject. The AI prompt for this field is:

{Influencer's Name} <> {User's Company Name} Partnership

This prompt creates a personalized subject line for each influencer, immediately catching their attention with their name and your company name.

The body of your outreach email is where Lindy really shines. The AI prompt for the email body is:

Write a partnership outreach email based on the information you have from the Google Sheet row trigger.

Example template to use:

"Hey [FIRST NAME], {User's Name} from {User's Company Name} :)

Few reasons I know we should partner on content together:

a. {write a line about why the product is killer and is going to help them attract a larger audience and gain more excited followers}

b. {write a short line about a prev. collab the user's company did and the ROI for the influencer}

c. {write a concise line saying they want to pay for the collab and let them have full reign on the content structure}

Would you wanna line up a quick chat?"

**Always do your best to personalize this**

This prompt directs Lindy to create a personalized email for each influencer. It includes an intro, three value-based partnership propositions (product benefits, collaboration examples, and compensation), and a call to action. The emphasis is on tailoring each email to the specific influencer.

Tailor this prompt to fit your company's needs. Provide Lindy with specific examples of key points to cover, preferred sentence structures, and highlights you want emphasized. You can also reference data fields from your lead list, as Lindy will have access to the entire row of data from the new entry.

Understanding The Outreach Sequence

The Influencer Outreach Lindy comes pre-configured with a sequence of three emails to maximize your chances of connecting with influencers.

We've already covered the initial outreach email in the previous section. If there's no response to that email, Lindy will move on to the Wait action. (If there is a response to the initial outreach email, Lindy will move to the actions downstream of the “After reply received” branch.)

This Wait action is an important step in the sequence:

Click on the Wait action to review its settings. You'll see that it's set to "Set Manually" mode. The number of minutes should be set to 4320, which equals 3 days.

This wait period gives the influencer time to respond before Lindy sends the second outreach email. You can customize the “Minutes” field to adjust how long you want Lindy to wait before following up.

Second Outreach Email

After the Wait action, you'll see a Condition step. Click on the Condition step to review its prompt.

the prospect did not respond to the original email outreach. go to next step if no response

This condition ensures Lindy only sends a second email if the influencer hasn't responded.

If there's no response, Lindy moves to the second Gmail Send Reply action. Click on this action to review the second outreach email prompt:

Follow up with the influencer. This time, send them a snappy, persuasive, two sentence email. It should follow one of these templates:

"Hey {FIRST NAME}, we're excited to help you make more money from your content and engage your audience even better. Are you open to new partnership opportunities right now?"

or

"Hey {FIRST NAME} - bumping this email as I am confident {User's company / product} is right up your alley and help you gain tons of traction in terms of impressions, views and followers. This collab could even help you charge higher rates for future collabs :) (we see this happen tons) Lmk if you're open to chat,"

Edit this prompt where you see fit. Remember, Lindy will use the information you have given her in the Context prompt, combined with the influencer information she received initially from your Google Sheet or chat message.

Third Outreach Email

After the second wait action, there is a third Gmail Send Reply action in the sequence. If there's still no response after the second outreach, Lindy will send a final email via this action step.

Click the action to review its prompt:

Send a final follow up email to the influencer. 

No yapping. It should be brief and easy to read. Follow this rough outline but personalize it:

"Last bump — We're fully onboard for a paid collab, but most importantly, your audience would benefit, and your community would grow. Lmk what you think!"

This final outreach is designed to be concise and direct, making a last attempt to engage the influencer.

Slack Notification For No Response

After the third email and its associated wait period, if there's still no response, Lindy moves to a Slack Send Direct Message action. This step ensures you're always kept in the loop, even when an influencer doesn't engage.

Click the Slack Send Direct Message action to view its settings. You'll see that the “Message” prompt is set to:

Let user know the prospect has not responded back

Slack Notification For Responses

When an influencer responds to any of the emails in the sequence, the first action taken is to send you a Slack notification. This ensures you're immediately aware of any responses.

How does this work? After each Gmail Send Reply action, there’s a branch condition for “After reply recieved.” All of these branches lead to a single Send Slack Direct Message action.

In its "Message" field, you'll see this prompt:

Let user know the prospect has responded back and rate their sentiment (interested / not a good fit / not interested / other)

Include the prospects email and name

This prompt allows Lindy to provide you with a quick, informative summary of the influencer's response, enabling you to stay on top of your outreach campaign without constant manual checking.

Response Categorization And Handling Replies

Following the Slack alert, Lindy categorizes the response and prepares an appropriate reply. This is done through a series of Condition steps, each followed by a Gmail Send Reply action.

Accepted Offer Response

Condition:

The influencer responded positively or accepted the opportunity to partner.

In the "Body" field of the following Gmail Send Reply action, you'll find this prompt:

You must respond to the influencer in a friendly, concise manner. 

Example template:

"Awesome {Influencer's Name}, so excited! 

Our next steps usually include a quick call, review and confirmation of package options / rates and a quick debrief on our planned content.

Do you have 15mins this week?"

Rate Offer Or Media Kit Response

Condition:

The influencer offered rates or a media kit.

In the "Body" field of the following Gmail Send Reply action, you'll find this prompt:

You must respond to the influencer's rates in a friendly, concise manner. 

Example template:

"Awesome {Influencer's Name}, thanks for sending these over. 

We typically spend about (use the information you have given to you about how much the user is willing to spend) and love (use the information the user gave you about what type of content they are looking for.

Lmk if you're aligned with this!"

It is best to use these guidelines when managing responses to rates: 
- The user wants to spend no more than $1000 per post
- The user wants 2-3 pieces of content over 1 single post
etc. 

** If the influencer gives their rates for content that seems well-aligned with the users budget and what they are looking for — accept the offer and ask if they have any offerings for first time collabs :)

Decline Or Disinterest Response

Condition:

The influencer declined the offering or expressed they are not interested.

In the "Body" field of the following Gmail Send Reply action, you'll find this prompt:

You must respond to the influencer's rates in a friendly, concise manner. 

Example template:

"No worries {Influencer's Name}, thanks for letting me know!

Best of luck"

For any email action, you can enable the "Ask for confirmation" setting to review the email before sending. This is a way of adding a Human in the Loop, which you can learn more about here.

Updating Your Influencer Tracker

After categorizing the response and sending a reply, or if no response is ever received from the influencer, Lindy updates your influencer tracker to reflect the latest status of the interaction. This is done through a Google Sheets Update Row action. Here's how to configure it:

Click the Google Sheets Update Row action in your workflow.

Find your Spreadsheet from the dropdown menu and select the Sheet Title.

For the Lookup Column, select the column containing the influencer's email address. This is recommended for accurate row identification.

For the Lookup Value, update the field setting to “AI Prompt” mode and set the prompt to:

the influencer’s email address

Next, we’ll need to specify which column to send the updated status to for the given influencer's row. To do this, create a column name on your sheet titled “Status” if you don’t already have one.

Switch the Status (the column name you created on your Google Sheet) field to "AI Prompt" mode.

Add the following prompt to the Status field:

Update this cell given the most recent status update from the outreach sequence. Classify them as accepted, gave rates or declined

Passing Control To A Human

To ensure Lindy does not keep responding after completing the outreach sequence and handling initial responses, we have added the Observe Inbox action as the final step in the flow.

This action gives Lindy the ability to observe all new responses in the email thread, but not take any additional action. This is especially useful when a human is needed to intervene and you want Lindy's workflow to complete at this point.

Personalized outreach emails to influencers with custom context
Follow-up sequences for non-respondents
Response handling for different types of influencer replies
Slack alerts for no responses and high-priority replies
Automatic status updates to your influencer tracking sheet

Test

Now that your Influencer Outreach Lindy is set up, it's time to test it out!

Add a few test influencers to your connected Google Sheet, such as:

A high-follower count influencer in your niche
A micro-influencer with high engagement
An influencer slightly outside your typical niche

Your Lindy will begin the outreach process.

Remember, you can always refine your Lindy's behavior by adjusting the conditions, updating your email templates, or modifying the response handling to better suit your needs.

You did it! Now your Influencer Outreach Lindy is set up to automatically manage your influencer relationships, saving you time and ensuring you never miss an opportunity to collaborate with the perfect partner for your brand.
