Getting Started With Lindy: 101

Learn how to build your first AI email assistant with Lindy

What is a Lindy?

Lindy is a no-code platform that allows you to build your own AI agents to automate business workflows.

Triggered by specific events, Lindy's AI agents connect your favorite apps and communicate with you through almost any platform to complete tasks.

AI agents can respond to emails, schedule meetings, assist with sales, take meeting notes, handle data entry, and provide customer support, helping you automate entire business workflows.

Building Your First Lindy

Welcome to Lindy!

In this guide, you are going to learn how to build your first AI email assistant.

This will less than five minutes, and after you’re done, you will have an email responder (because no one loves to answer emails themselves).

Let’s get started!

Create a New Lindy

Click New Lindy below Home in the top left of your workspace to begin building your AI agent.

Click "Start from scratch" to create a new AI agent.

Add a Trigger

Triggers are events that “wake up” an AI agent. Examples include time-based triggers (e.g., every weekday at 9 am) or event-based triggers (e.g., when you receive an email).

A single AI agent can have multiple triggers, either managing different workflows, or acting as entry points into the same workflow.

You can apply filters to your triggers to reduce costs and ensure all workflows are initiated by desired events. Guide to using Filters here.

Click “Select Trigger”, then click Gmail, then add the Email Received trigger.

Connect the Gmail account you want your AI agent to monitor emails for.

Add a Condition

Conditions let you define different paths in your automation based on specific criteria.

Now that your AI agent is going to wake up with every email, we are going to set a condition to define which emails we want your AI agent to act on.

Click the “Condition” step under Perform an action and Seach knowledge base.

Lindy will only proceed to the next step if the prompt in the Condition is met.

Each Condition begins with, “Go down this path if..”

Set the Condition prompt to:

the emailer is asking a question about my service, product, or company

With this prompt, your AI agent will only continue if relevant emails (e.g., questions about your service, product or company) are received.

Add a Knowledge Base

The knowledge base is a repository of data from which your AI agent can retrieve knowledge. AI agent's search through a knowledge base is “semantic,” so it will find results whose meaning is similar, even if their text doesn’t match exactly.

For example, searching for “refunds” will also find entries related to “returns” in the knowledge base. Learn more about using a knowledge base here.

Now that your AI agent receives your emails and filters out the irrelevant ones, we’ll give it knowledge about your business, so that it knows what to reply.

Click “Add step” and add Search knowledge base.

Then, click Website.

Insert your personal or company website, and click “crawl” for your AI agent to index all pages linked from your site (you’ll have the option to remove pages later).

Add an Action

Actions let an AI agent complete tasks such as reply to emails, update a Hubspot CRM, or create a Notion page.

You AI agent now receives emails and scans your website to understand your business. All that’s left is for it to use that knowledge to draft a response.

Click “Add step” (The blue plus sign beneath the Knowledge Base) and select “Perform an action”.

Click the Gmail action in the “Recommended” section (this will ensure your AI agent responds in thread).

Select the Gmail Send Reply action.

Now you can customize how you want your AI agent to respond using the knowledge in your knowledge base.

To do this, ensure the ‘Body’ field is set to “Prompt AI” and add a prompt, instructing your AI agent on how to draft as a response.

Example prompt:

You are a competent email responder that will use context from a knowledge base to succinctly respond to emailers’ questions about my service, product, or company. ONLY respond with exact information extracted from the knowledge base and keep emails friendly and informative. Never more than 3 sentences.

The ‘Reply To’ field defaults to “All”. This ensures that your AI agent will respond to the emailer sender, and anyone else who was included on the email thread.

Optional: You can BCC yourself in your AI agent's responses by using the “Set Manually” mode on the BCC field and entering your email address. This is a great way to have visibility on your AI agent's responses.

Test

Click the “Save” button and send yourself an email inquiry! (It is best to do this from a separate email address, such as a personal address, etc)

Click “Test Mode” and Select your test email.

You will see the Condition path the AI agent takes and the response email in the “Test Mode” panel.

Rename your New AI agent here.

Once you've enabled your AI agent and an email has been received, you can cllick “Tasks” to see your AI agent's task history.

Taking it One Step Further

Now that you have an email assistant responding to inquiries about your product, service, or company, let’s take it one step further!
