Getting Started With Lindy: 102

If you haven't gone through our Getting Started: 101 guide, make sure to check that out before diving into 102.

Taking it One Step Further

Now that you have an email assistant responding to inquiries about your product, service, or company, let’s take it one step further!

Lindy can triage emails, pre-draft responses, alert you on Slack, create reminders, send follow-ups to recipients, and more.

In this guide, we’ll show you how to create a priority contact list that triggers Slack alerts and a pre-drafted response when an important email comes in from one of the contacts.

Adding a Priority List

We’ll start by creating a Google Doc with a list of high-priority contacts.

Create a new Google Doc (outside of the Lindy app, you can click: www.docs.new), give the document a title, and insert an email address (ideally an email address you have access to and can test with once your automation is complete) to be added to your “Priority List.”

Now go back to the Email Assistant you built in the Getting Started: 101 Guide and open the Flow Editor.

Hover over the branch below your Email Received trigger and click “Add step”.

Now, we will have Lindy refer to the list of emails on the Google Doc, every time you receive an email.

Select “Perform an action”.

Add the Get Document action under Google Docs.

Switch the “ID, Doc Name, or Link” field to “Set Manually” and add the link to the document you just created.

Creating a Second Condition

Now we are going to create a second set of actions for Lindy to take, if the email sender’s email address exists on the Google Doc.

Click on the Condition step, then click the “Add Condition” button.

Set the newly added condition prompt to:

the email came from a sender that was in the Google Doc

Creating a Slack Alert

Now that Lindy can segment high priority emails, let’s make her alert us on Slack when one is received.

Click the plus button below the newly added condition, select “Perform an action,” search for Slack, and select the Send Direct Message action.

Update the User field setting to “Set Manually” and add your email or Slack User ID.

From here, we are going to customize your Slack alert using a prompt in the “Message” field. To do this, set the field setting to “Prompt AI” and add instructions for Lindy on how to compose and format the message.

Example prompt:

Send a short summary of the important email received, then pre-draft a concise response.

Format the message like so:

“Important Email Alert! 🚨
Email received summary:
[insert]
— —
Suggested response
[insert]“

Your Lindy will now look like this:

Test It Out

Click Save and test out your Lindy!

Send yourself an email (using the email address found on your Priority List Google Document) and watch Lindy immediately alert you on Slack.

Updating Lindy's Priority List, Using Lindy

Sounds meta, right?

In this section, we'll give Lindy a second trigger that will update the High Priority email list on the Google Doc when she's BCC'ed in an email chain.

Note: You can add multiple triggers to a single Lindy to have her perform different sets of actions or trigger a single set of actions in different ways.

(The following steps can also be used for Lindy to self-update an email response knowledge base and learn from your responses too.)

To begin:

Add a second Trigger to the Email Responder Lindy.

Click Lindy Mail and select “Email Received.”
Customize the email address for this trigger. Example: priority-lindy@lindymail.ai.

Now, your Lindy will also be woken up by a new email received to this email address.

We are then going to add an action.

Click the “Perform an action” option under the Email Recieved trigger and choose “Update Document” from the available Google Docs actions.

In the “ID, Name Or Link” field, select “Set Manually” and paste the link of your Google Doc.
Insert this prompt in the “Content” field (update the Content setting to “Prompt AI”)

Extract the email address of the recipient (not the user’s email) and append it to the google doc.

Add nothing other than the raw email address.

For the “Mode” field, select “Set Manually” and set the Mode to “Append”.

To add an email to your High Priority List, simply reply to an email and BCC Lindy at the lindymail address from the trigger you created or forward the email directly to her.

Now, your list will continuously update and alert you as needed!
