Meeting Notetaker with Follow-Up Email‍

Learn how to add an email follow-up action to your meeting notetaker in less than 3 minutes.

This guide builds off Meeting Notes: 101.

To begin, you will need a Meeting Notetaker Lindy that joins your calls. If you don’t have one, you can use this Meeting Notetaker which will:

Be triggered by an event on your Google Calendar
Join the call if the event has a meeting link
Record and transcribe the call
Create a Google Doc with custom meeting notes
Send you a Slack Direct Message with:
- A high-level summary of the call
- A more detailed summary with action items

With your Meeting Notetaker set up, we can now update it to have Lindy draft a perfect follow-up email to the meeting attendees. This will take 3 minutes to build – let's get started!

Crafting the Follow-Up Email

To have Lindy craft a follow-up email, add a Gmail Send Email action anywhere after the Lindy Meeting Record action.

Lindy will have the meeting transcript as context for every step of the workflow after the meeting. This means you can refer to the transcript and meeting content for every action that follows the Lindy Meeting Recording.

Click "add step" to add the Gmail Send Email action.

Customizing the Email

Now we can customize the follow-up email.

You have the option to turn on "Ask for Confirmation," which gives you an easy way to approve the email before it is sent to your meeting attendee. You can turn this off at any time to have Lindy send the emails automatically.

In the "To" field, add a prompt to tell Lindy who to send the email to. Personalize the subject line and add a prompt to the Body field to tell Lindy how you prefer your follow-up emails written.

Example Body prompt:

Send a follow-up email to the meeting attendee.

The follow-up email should include three things:

1. Thank them and summarize the call topic in one sentence.
2. Mention the most important follow-up content extracted from the transcript.
3. Conclude the email by succinctly outlining the next steps for each party involved in the meeting, and explicitly mention the next touchpoint (when and where) if it was discussed during the meeting.

You are responding on behalf of the user. Use a conversational and friendly tone. Keep it concise; no unnecessary details. No yapping.

Test

Click save – your Lindy is ready to start sending follow-up emails! You can create a test calendar event to trigger the workflow and test this new action.

Below is an example of a follow-up email Lindy crafted while “Ask for Confirmation” was turned on. You have the option to edit the email body and the markdown before the email is sent.

This email will not be sent until you click “Send email”.
