Meeting Notes: 101

Learn how to build a Lindy that records, transcribes, and follows up on your meetings.

Lindy is your AI-powered meeting assistant, ready to transform your meeting experience.

Let's face it – keeping track of everything discussed in meetings can be overwhelming. Think of Lindy as your meeting sidekick, joining your calls, recording them, generating detailed notes, and handling all those time-consuming post-meeting tasks across various apps like Slack, Hubspot, and Gmail.

This Meeting Notetaker Lindy will revolutionize how you handle meetings and follow-ups.

Here's what it does:

Joins calls based on your Google Calendar events
Records and transcribes the call
Creates a Google Doc with custom meeting notes
Sends you a Slack Direct Message with call summaries and action items
Performs various post-meeting tasks across different apps

And the best part? This will take 2 minutes to set up.

Let’s get started!

Once you have added the Lindy to your account, open the Flow Editor to see how it works.

Connect Your Calendar

To begin, connect the Google Calendar with the meetings you want Lindy to join in the Calendar Event Started trigger step.

You can add trigger filters to the calendar events that wake up Lindy and begin the workflow. This gives you more control over the meetings Lindy will join. For instance, in this example, we’re filtering for events that contain “Demo Call” in the name.

Filter Events

The next step is a Condition. You can click on this step to view or edit the condition statement. By default, the first Condition (Virtual Meeting?) tells Lindy to only continue if the event contains a meeting link.

Customize Your Meeting Recorder

The Record Meeting action enables Lindy to join, record and transcribe your meetings.

In the Chat Message On Join field of the Record Meeting Action, you can customize the message Lindy sends to the meeting attendees once she joins the meeting. To remove the chat message sent by Lindy, keep the field on “Set Manually” mode and leave it blank.

You can also customize the name of your Lindy-bot as it will appear in your meeting in the “Name” field.

Grab The Meeting Link

Lindy will send the media recording link and transcript to the Task view of the Lindy app. To share this content in other actions (like Gmail emails and Slack messages), we’ll need to use the Get Task URL step to access this content first.

Specifically, the Get Task URL step allows Lindy to fetch the task URL of the Lindy conversation, which we will then reference in later steps to send the meeting summary to your Slack / email.

Send Attendees Recap

Click the Gmail Send Email step (Email attendees recap) to customize the recap email Lindy will send to the meeting attendees.

The “To” field uses the “Prompt AI” mode, which allows the field to be dynamic, based on the prior context of the workflow. The “To” field prompt is:

All the emails in the calendar event marked as an attendee

The “Subject” and “Body” fields both use “Prompt AI” mode to instruct Lindy on how to draft the email.

Customize these prompts as you see fit.

Receive Meeting Notes

Click the second Gmail Send Email step (Email user notes) to customize the email Lindy will send to you, as the user.

The “To” field uses a prompt that instructs Lindy to use your email address. To make this field use your email address for 100% of the emails, switch the “To” field to “Set Manually” mode and insert your email address in the blue field.

The benefit of using a “Set Manually” mode is it reduces the LLM calls (which consume credits) and increases reliability by removing agent intelligence from the action, and instead, relying on the exact input you entered in the field.

This email step explicitly instructs Lindy to include the Lindy task URL (mentioned previously!) which will allow you to easily access the media recording, the transcript and the Lindy task execution.

Note, this will not be sent to your attendees as this email step is configured to only be sent to you.

This step uses output referencing to refer to outputs from prior steps in the workflow. Because Lindy used the “Get task URL” action, you can refer to the output (the URL) in the prompt of the “Body” field.

Output referencing works for both “Prompt AI” and “Set Manually” modes. You can reference trigger and action output data.

Receive Slack Summary

The next step in the workflow is the Slack Send Direct Message action (Slack DM meeting summary).

Similar to the Send Email action, you can switch the “User” field to “Set Manually” mode and insert your email address in the blue field.

Customize the “Message” field prompt if you want Lindy to include specific details in the Slack message.

Chat With Your Meetings

The last step of the workflow is an AI Agent. The AI Agent is used to handle follow-up questions.

AI Agents let you define broad guidelines and skills that can be invoked at any time — the agent will then decide when to use which skills to follow its guidelines.

The AI Agent uses the prompt:

Answer any questions the user may have about their meetings.

And has the Slack Send Message action as a skill it has access to. This allows Lindy to respond, in thread, to Slack questions.

Using Your Notetaker

You did it! Your Meeting Notetaker is set up to record, take notes, send summaries and action items, and then follow up on Slack to help you with any questions.

Remember, you can view your meeting recording by clicking the task in your Lindy’s task view, or by clicking the task URL in Lindy’s email / Slack message.

You can easily copy the transcript by clicking the Copy icon beneath the media recording.

You can also download the media recording by clicking the three dots on the media card and selecting Download.
